- All HR data is collected from employees or contractors for the purposes of employee / contractor administration, providing employment and work benefits and ensuring operation of payroll. The type of personal data collected will be the type of data to enable KLDiscovery to fulfil employment and work benefits and will include name, date of birth, address, qualifications, educational history, social security information, compensation information, selections of employee benefit choices relevant to the employment and emergency contact information. Employee information is shared internally within the KLDiscovery group of companies and externally to service providers to provide employee administration, such as email services and applicable employee related benefits, including but not limited to pension providers, stock scheme administrators/brokers and insurance providers. Information that is processed by third parties would be limited to information which is necessary for the specific purpose. All Non-HR personal data is collected from or on behalf of clients for the purposes of providing software and associated services in the field of eDiscovery, data recovery and related information governance services to clients. KLDiscovery is provided with a range of personal data as instructed by the client and typically includes custodian names, employee or customer information of the party in litigation, email and communications data. Governance of such Non-HR personal data is stipulated in contractual terms and/or data processing agreements executed with such clients and is disclosable to third parties only with permission of the applicable client. When approved, those third parties may include a variety of sub-processors including cloud hosting providers, document scanning providers and other service providers.
