- MeetingSphere collects data in two capacities: 1. MeetingSphere collects, controls and processes contact information via its website www.meetingsphere.com when customers take out trial subscriptions, purchase subscriptions for personal Meeting Centers or request information regarding its products and services. For responding to enquiries, MeetingSphere collects firstname, surname, organization and email. For subscriptions, individuals must also give their organizations address and, if required, separate billing address. MeetingSphere uses contact information for general marketing purposes such as newsletters only if individuals have given their explicit consent for that purpose. 2. MeetingSphere processes personal data for the purpose of identifying and licensing users on 'Meeting Centers' (deployments of the MeetingSphere meeting solution) which it provides to customers as a Software Service . In the terminology of the GDPR, MeetingSphere's customers are the controllers of personal data held in their Meeting Centers. This personal data can be entered by users themselves when they sign into a meeting (name and email) or by the customer's user administrators who can create accounts for authenticated users. The user profile of authenticated users is limited to firstname, surname, organization or department and email address. When authenticated users are licensed to run meetings on behalf of the customer organization, their firstname, surname and email address is communicated to MeetingSphere's online licensing system. User accounts are deleted after a customer-specified period of inactivity. All personal data, except for information documented in invoices and confirmations which are kept for the statutory periods, all data of a Meeting Center including backups is deleted automatically after a grace period when the subscription for the Meeting Center expires.
