- Data is collected for the sole purpose of helping our clients measure the success of their email communications, and to assist in delivering/targeting email content to people who have shown or expressed an interest in specific content-topic areas. Personal data is entered into our application at the sole discretion of each business client. The bare minimum required to use the TailoredMail system is an individual’s email address. Any additional personal information is only stored within our system if it is critical to the task of sending highly relevant content (e.g. email newsletters), and that the email-recipient (consumer or employee) has provided full, documented permission to do so. For example, if a client wants to market music concerts to their fans in a specific geographic location, then asking for (and storing) someone’s zip code would be highly useful for both the user of our application, and the fan (they only get email updates for events in their area). For employee communications, a company may need to send messages internally to appropriate departments, or for people at a certain level in the organization (e.g. VP or above), so storing an employee’s department or title would be highly valuable for sending tailored and even confidential information to the right employee. We do not allow any banking, financial or health/medical-related data to be stored within our system. All data entered into TailoredMail is “encrypted at rest” in our databases, and is only viewable within the application using secure (https) multi-factor log-in credentials, and is only accessible by authorized clients and employees on a need-to-know basis. Upon either the request of the email-recipient or the client using our application’s request to delete personal data, TailoredMail will immediately process such requests and the data is removed from our systems – as well as any back-up disks. Upon request of the consumer or employee wishing to “view” the data stored on them, we have established a GDPR-compliant process to provide such data for their records.
